Planning Office Decommissioning and Technology Handoffs

Plan office decommissioning with a documented scope for lease obligations, furniture, records, technology coordination, and closeout.

January 15, 2024

Office decommissioning is a project with separate responsibilities for the tenant, property manager, facilities team, technology team, and any approved vendors. Start with the written lease and the current site conditions rather than assumptions about what must be removed.

Review the return requirements

Read the lease, building rules, and approved scope for return conditions. Document furniture, fixtures, cabling, signage, records, and materials that need review. Direct legal or lease-interpretation questions to the appropriate advisor or property contact.

Separate furniture and technology work

Furniture removal or reconfiguration should follow the approved layout and access plan. Technology equipment, data-bearing devices, and account access should remain under the direction of the responsible IT or security team. Use a documented handoff for any equipment that changes custody.

Prepare the site

Confirm work hours, loading routes, elevator access, protection requirements, waste handling rules, and site contacts. Record the condition of the space before and after the approved work.

Complete a closeout list

Walk the space with the project contact, record remaining items, and keep the final documentation with the project file.
