A relocation plan gives facilities, operations, IT, and project contacts a shared record of what will happen and when. It is most useful when it describes the work clearly enough for each participant to understand the scope and dependencies.

Define the project

List the locations, rooms, furniture, equipment, records, and services in scope. Separate items that will move from items that will be reconfigured, removed, stored, or replaced. Assign one contact for decisions and one place for current project documents.

Confirm access and site conditions

Review loading routes, elevators, parking, work hours, protection requirements, security procedures, and destination readiness. Include the building contacts and required approvals in the plan.

Prepare people and assets

Use labels that connect each item to a room, department, or workstation. Give employees clear instructions for personal items and sensitive materials. Coordinate technology work with the responsible IT team so equipment handling follows its own approved process.

Plan the handoff

At the destination, work from the approved floor plan and placement list. At the origin, complete the return, removal, or decommissioning work required by the lease or project scope. Finish with a walkthrough that records completed work and remaining items.
