Seven Office Relocation Mistakes to Avoid

An office move involves more than transporting furniture. The work touches building access, workstations, technology, records, and the people who need the new space to function. A written plan helps the project team spot gaps before move day.

1. Starting without a defined scope

Document what is moving, what is being reconfigured, what is being removed, and who approves changes. Include rooms, shared areas, furniture, equipment, and any items that need special handling.

2. Waiting to confirm building rules

Ask each property manager about loading areas, elevator reservations, work-hour restrictions, parking, protection requirements, and required documentation. Put those requirements in the project schedule so they are visible to every vendor.

3. Treating inventory as an afterthought

Label furniture, files, equipment, and destination locations consistently. A simple inventory and floor plan make it easier to verify placement and identify missing items during closeout.

4. Separating technology from the move plan

Coordinate with the IT team before disconnecting devices or changing room layouts. Record ownership, labeling, access needs, and the sequence for reconnecting approved equipment.

5. Ignoring furniture dependencies

Some systems furniture, partitions, and conference components need an installation or reconfiguration plan. Confirm the intended layout, available hardware, and access to the work area before work begins.

6. Leaving staff communication too late

Tell employees what they need to pack, label, remove, or secure. Share the schedule, points of contact, and any temporary access changes in advance.

7. Skipping a final walkthrough

Use a closeout list to confirm furniture placement, protection removal, remaining items, and follow-up work. Record open items clearly so the next step is understood.
